However, letter requests can be a daunting prospect, so we checked in with five NSE professors to find out exactly from them.

Start with a little self-reflection. Why are you applying for these programs? Your teachers will be able to use this information as a reference when writing.

Create a sheet of paper that lists your favorite activities. Include important deadlines, requirements (how many letters are they asking for?), and other important information. The department also likes “advance” students, so you can send a link to this form, especially if you’re applying to multiple places at once. “One year I had 5 students,” wrote a professor, “each of them applied to 10-12 schools, with 2 email addresses for jobs… It would not be possible if no paper!” Something like the table below might be a good place to start:

It also outlines the technical skills you need to demonstrate to support your application. They should be people you have worked with well and be able to share with you “personal details and insights from first-hand experience”.

Don’t hesitate to ask the department (without asking for details) if they can write you a solid recommendation letter. If they can’t, thank them and ask someone else. They may tell you that they are serving as a reference for you, so have a backup.

Give them time, 3-4 weeks for most projects and programs (one month is “good”), 6-8 weeks for departmental applications. Anything less than two weeks is not good. Faculty are busy and should be flexible enough to accommodate writing assignments and time to do their own research on your project or program. If they know who you hope to work with, they can tailor their correspondence and create a strong match.

Give them information on everything from quick details to your long-term wishes. If possible, give all the information at once and keep it organized, not in small pieces.

In most cases, it is best to “develop a relationship with the person who gives it; the better they know you, the better the letter will be.” Don’t expect this to be something you start working on before you ask for a letter.

Don’t write the post on behalf of those links! Although this is common practice in some areas or some professors, none of the faculties we contacted require their students to submit work. In fact, many people expressed their “dislike” for the idea:

Refer to a specific experience or activity to remember. A professor wrote, “Students should direct me to the part of their curriculum vitae/resume that they think is relevant to the situation. If you are a graduate student or an undergraduate student working with a postdoc, you can tell the student/postdoctoral advisor that they can contact the PI for more information. Do not ask anything from the teacher/postdoc instructor and send it directly to the PI. Let the PI decide whether to lend or not.

Send a reminder a week before the letter arrives, and if necessary, a day earlier. One professor wrote that “students should be allowed frequent reminders before the letter arrives,” but others agreed that five or more reminders are “disheartening.” If you’re not sure, ask your counselor when and how often to check in with them. Communication is important!

When the time is right, share the results of the application with the link and acceptance. This is your lab tip, considering how letter writers are investing in your success! Your advisors spend 45 minutes to five hours on each letter, which includes how long it takes to write the letter.

Time spent on research (checking your information, getting a full understanding of you, researching your target company and who can serve on those research committees, etc.). A professor wrote: “It’s a lot of time and effort, but the reason every letter takes so long is because I try to do my best :-)”
